11.4 – NCO: Group X

Group X Staffing

  • 6 months prior to New Club Opening – “Receive Interest from Current Staff”
    • Email goes out to current Group X staff to find out who is interested/willing to teach in new location. Email asks for times and days available to teach and the class formats willing to teach. Group X Instructors reply to email if interested and all of those instructors are taken into consideration for staffing of new club schedule. (Exhibit: Group X Recruitment Email)
  • 3 months: 1st Draft Classes only & OPEN RECRUITMENT
    • Once list is compiled of current instructor interest, Group X Director is responsible for recruiting recruitment from outside begins using the   following tools:
      • Facebook
      • Twitter
      • The Edge Website
      • Referrals from Current Instructors
    • Group X Director will seek assistance in communication from the Assistant Group X Director
    • Interviews start as soon as good candidates come through this outreach.
  • Referrals are gathered from the good interviewees.
  • Interviews to include audition (Exhibit: Audition Intake Form)
  • 2 months prior to new club opening: Assign Classes
    • Instructors are notified at this time that they have been added to the schedule.

Group X Scheduling

  • As soon as lease is signed and new club is announced, Group X Director organizes a “Road Trip” which includes visiting the surrounding area competitors of the new club. Shop their classes, research the group schedules and popularity of Group X for competitors in the directly surrounding area and areas within commuting range.
  • 6 months prior to new club opening: Receive Interest from Current Staff
  • 4 months: Group X Director Builds Mock Schedule (Exhibit: GeX Schedule Template)
    • Controller advises which of our current clubs this new one will most resemble. That Group X schedule is used as the starting point for the new club schedule.
    • No schedule is released until about 1 month into pre-sale at the earliest (3 months prior to club opening). Schedule continues to be updated through pre-sale and club opening.
    • The base schedule is adjusted based on four factors:
      • Research of surrounding areas & clubs
      • Knowledge from our current clubs & our members
      • Feedback directly from the pre-sale
      • Approval of Schedule Matrix (Exhibit: Group X Matrix Schedule)
  • 3 months: 1st Draft Classes only & OPEN RECRUITMENT
  • 2 months: Assign Classes
    • Group X Director starts filling in instructor names on the group schedule, based on current instructor interest and new interviewees.
  • 1 month: 2nd, 3rd, 4th Draft
    • Once the Preliminary schedule is set, MATRIX is created.
      • Matrix breaks down instructor pay rates
      • Shows payroll on a daily basis
    • Matrix is submitted for approval.
      • Based on feedback, schedule is reworked.
      • New classes added, if approved.
      • Classes removed if Matrix is over budget.
  • Ready for Club Opening: Final Schedule
    • After final approval of Club Opening Schedule, Assistant Group X director is provided the schedule and then adds the classes into Datatrak.
      • In Datatrak Schedule the class days, times, studios and instructors are added.
      • By loading into Datatrak, automatically updates/adds to MICO & Edge APP
    • Assistant Group X Director uploads the new club schedule to the Website

Group X Equipment

  • Controller advises which club to compare new club to when setting budget for the equipment.
  • Approximately 4 months prior to opening, Controller places quote to Fitness First and Hampton Fitness for Group X equipment. (Hampton Fitness frequently has items on back-order so submitted ASAP even if prior to 4 months out)
    • Fitness First – Yoga Blocks, Steps, Physio Balls, Dumbbells and Tubing
    • Hampton Fitness – Barbells and Body Bars
  • There is a standard spreadsheet built that is sent when ready – Exhibit: NCO Budget & Purchasing.
  • Depending on size of studio, the matching standard spreadsheet is chosen.
  • Spreadsheet is sent to reps and a quote is sent back.
  • Quote is submitted to President and Controller for approval.
  • After quote is approved by President and Controller, and opening day is set, the delivery date is set for approximately one week prior to Opening Day.
  • This delivery date may change based on changes to Opening Day.
  • Changes are communicated to Fitness First and Hampton Fitness and they adjust the delivery date accordingly.
  • Group X Director tracks the delivery of the equipment.
    • Order is sent to the Group X Director’s Attention
    • Once confirmation of delivery day and time comes in from Fitness First or Hampton Fitness, Group X Director emails the New Club Opening Team, Facilities Supervisor, Equipment Manager, Club Management and President to inform.
    • Group X Director and Assistant Group X Director are present in club to receive the delivery.
      • Group X Director verifies delivery versus packing slip to ensure delivery is right.
      • Team listed above that received Delivery Alert email are on deck for unpacking and placement.
  • Kiosk setup is completed by ABC Techs on site for grand opening.
    • Kiosks will be up and running prior to the Group X Kickoff.

Group X Kickoff

  • Group X Instructor Kickoff planned 7 days before club Opening Day
    • Run by Group X Directors
    • Done in 2 Groups
    • MANDATORY FOR ALL INSTRUCTORS
    • 2 hours
  • Itinerary Includes:
    • Review Schedule of Classes
    • Company History
    • Policies and Procedures (including inclement weather policy)
    • Kiosk Operation
    • Payroll
    • Tour of Club
  • Night before MASTER CLASS
    • X Director would choose top instructors for the following formats to teach at the Master Class.
      • Edge Flex, Zumba, Spin and Yoga
    • Instructors would be paid.
    • Schedule:
      • 5:30pm Edge Flex
      • 6:30pm Zumba & Spin
      • 7:30pm Yoga
    • Open to “VIP” members (those that joined during pre-sale) and their friends and family members.
    • Open to pre-sale prospects as well.
    • Staff 2-3 sales people on that night to sign in any non-members and sell memberships before/after the class.
    • Staff shake bar to make shake samples for participants.
    • Contact local vendors to get food donations.
