Managing Opportunities for the Day

Each day you’ll arrive on site at 5:30 a.m. and begin by preparing the Navigation Sheet. It lists all of the day’s personal training opportunities, including new clients, renewals, or clients canceling.

You’ll use the Navigation Sheet to review the opportunities with each Personal Trainer when you meet with them each morning. Doing so helps you set up the Personal Training team for success by ensuring that they have enough opportunities in their calendar to hit their daily financial goals. Refer to Daily Trainer Prep Meetings for additional information.

Then, you’ll keep the calendar at the Front Desk so that you and the Fitness Manager can use it as a playbook to keep score throughout the day.

Print the Opportunities List

  1. Open Datatrak.
  2. Type your User Name and Password and press Enter.
  3. Scroll to top right of the screen.
  4. In the Reports column select Dashboard. The Dashboard displays.
  5. On the bottom left of the screen, in the Display Items column select Scheduling > Event Opportunities.
  6. Click and drag “Event Opportunities” to the lower left quadrant of the dashboard. A list of all new opportunities displays.
  7. Scroll up above the “Event Opportunities” title in this quadrant, and select Print from drop-down menu. The day’s Opportunities List displays in chronological order in PDF format.

Print the Calendar

  1. Open Datatrak.
  2. Type your User Name and Password and press Enter.
  3. Scroll to top right of the screen.
  4. In the Schedule column select Calendar > Print.Note: Once printed, you may need to cut and paste the content so that it appears on a single sheet.
  5. Using the Opportunities List you printed earlier, be sure to highlight in yellow all of the opportunities on the calendar.

Update the Master Shot Sheet

Using the Opportunities List and Calendar you pulled from Datatrak, update the Master Shot Sheet to use when you meet with the trainers to ensure that they are following up on the opportunities for the day.
